To put a new business system in place we have to be able to identify what we need it to do. If we have to put into words what we expect of this system, the best way to do that is to go straight to the frontline people who are using it - staff, members, committees, clubs, management and other stakeholders. What’s the best way for us to do that? Here’s what we’ve come up with:
Workshops
Our team has worked with all departments and divisions within CKC to walk through the various steps they take every day during the course of doing business. In our workshops, we facilitated input discussions and drew up diagrams and flow charts for membership, registration, events, finance, marketing, IT and operations. All workshops have been held at the CKC offices to minimize interruption to work routines. This was an enlightening process as it showed us just how interconnected everyone is.
Member Survey
A survey has been created to seek input from our membership. We really want to hear from you and find out what is working and what could be improved. We’ve posted the
member survey on our website and have provided this link to members through email and our newsletter. Print copies of the survey have also been produced to send to members who are not online and to hand out at events.
Hot Buttons and Guiding Principles
With all the information we’ve accumulated, there are some key points that keep recurring. We’ve distilled this information and developed Guiding Principles and Hot Buttons (insert link to Principles/Buttons blog post) that help us to stay on track and remember what is important.
On The Road
Our team is taking the IT4You message on the road and asking different clubs to help spread the word. We have been to Lloydminster where we conducted a focus group to get valuable feedback from judges, clubs and show secretaries. This lively conversation was very helpful with important input to guide our thinking. Plans are in place to attend events in St-Lazare De Vaudreuil and in Moncton this November.
